Cancellation & Refund Policy
We understand families and performers have busy lives, and sometimes plans change. This policy outlines how cancellations, withdrawals, refunds, credits, and performance commitments work at Zanaty Performance Company (ZPC) so expectations remain clear and consistent for everyone.
Section 1. Notice Required
All cancellations or withdrawals must be submitted in writing (email is acceptable).
The two-week notice period begins on the date ZPC receives written notice.
Verbal notice, missed attendance, or informal communication does not constitute cancellation.
Section 2. Tuition During the Notice Period
Tuition covering the two-week notice window is non-refundable and remains due, as space, staffing, and scheduling have already been committed.
Any tuition paid beyond that two-week period may be eligible for a refund, unless otherwise restricted by performance season policies outlined below.
Section 3. Monthly Tuition & Prorating
Monthly tuition is not prorated for missed classes, holidays, rehearsals, or mid-month withdrawals.
Prorating may apply only during a student’s first month if they begin mid-month, and only at ZPC’s discretion.
Section 4. Missed Classes & Makeups
Missed classes are non-refundable.
Makeup classes may be offered only if scheduling permits and are not guaranteed.
Excessive absences may impact casting, performance eligibility, or participation.
Section 5. Non-Refundable Fees
The following are always non-refundable:
Registration and enrollment fees
Performance and production fees
Workshops, intensives, camps, and special events
Private lessons once scheduled
Costumes, show shirts, merchandise, and custom orders
Any other add-on or one-time program fees
Section 6. Performance Season Lockout (30 Days)
Because of casting, blocking, costume ordering, tech planning, venue rentals, and production expenses:
Cancellations within 30 days of a scheduled performance are not eligible for refunds of any kind.
Full tuition for that period remains due.
Section 7. Rehearsal Schedule & Performance Requirements
Performance-based programs may require additional rehearsals beyond regularly scheduled class times. This may include:
Extended rehearsals
Additional weekday rehearsals
Mandatory Saturday rehearsals
Technical and dress rehearsals
Rehearsal schedules are determined by the production team and may be adjusted as needed to support casting, staging, and performance readiness.
By enrolling in a performance-based program, families acknowledge that participation in all required rehearsals is expected.
Conflicts with required rehearsals may impact casting, performance participation, or eligibility for refunds.
ZPC is not responsible for schedule conflicts with outside activities, sports, lessons, or other commitments.
Section 8. Program Changes & Creative Discretion
Theatrical programming is dynamic. Changes may occur throughout a season, including but not limited to:
Show selection changes
Casting decisions or role adjustments
Schedule updates
Rehearsal modifications
Production format edits
Creative direction changes
These adjustments are part of the artistic and operational process and are not, by themselves, grounds for a refund.
All creative and program decisions are made at the discretion of the directors and administrative leadership.
Section 9. Medical or Emergency Withdrawals
If a student must withdraw for a documented medical reason or significant life event:
ZPC may offer account credit toward a future program in place of a refund.
Credits are issued at the discretion of ZPC leadership, are not guaranteed, may include expiration dates, and may not apply to all programs.
Section 10. Full Refund Policy for Season Cancellations
Full refunds will only be issued if ZPC cancels a program or performance season in its entirety due to insufficient enrollment, staffing limitations, facility issues, or other operational circumstances that prevent the program from taking place.
If ZPC proceeds with the scheduled production, workshop, camp, or season as planned, full refunds will not be offered for any reason, including:
Schedule conflicts
Loss of interest
Dissatisfaction with casting
Programming format changes
Personal circumstances
Outside activity conflicts
When a program moves forward as scheduled, all payments remain subject to this policy.
At the discretion of the Executive Director, Programming Manager, or designated administrative leadership, account credit toward a future ZPC program may be offered in place of a refund. Credits are not guaranteed and do not establish precedent for future cases.
Section 11. Refund Method & Processing
When a refund is approved:
Refunds are typically processed within 10–14 business days after the two-week notice period concludes.
Refunds are issued back to the original payment method whenever possible.
Section 12. Unpaid Balances & Collections
All outstanding balances must be paid in full before a cancellation is finalized.
If unpaid balances remain after 30 days, the account may be forwarded to a third-party collections agency.
At that point, all collection efforts and fees will follow the policies of that agency.
Section 13. ZPC Discretion
ZPC reserves the right to make exceptions in rare or special circumstances.
Any exception granted does not alter this policy or establish precedent for future cases.
